Unfortunately even the best laid plans can be unexpectedly interrupted. What makes things worse is when you are forced to pay for reservations you’ll never use. Cancellation charges for hotel rooms can run anywhere from 20 – 100 % of the quoted room rate. To avoid these charges there are some basic precautions you can take as well as some loopholes you can take advantage of in a tight spot.
The first rule of thumb is to never pre-pay your room charges. Tour companies and online travel sites will often charge your credit card the moment you request a reservation. When you book directly with the hotel your card number is only kept on file to retain your reservation. A hold or charge will not be typically imposed until you arrive at the physical property.

Be aware of the hotels cancellation policy. 48 hours is typically the notice you must give in order to avoid any cancellation charges. Although some establishments (especially internationally) will charge a fee on a sliding scale depending on how much advance notice you give. Don’t be afraid to ask a hotels cancellation policy when making a reservation. If the reservation is made online, print out the policy for future reference.
Put your spouses or traveling partners name on the room as well. This way if you can not personally be there to check in someone else can do it for you. If you are booking multiple rooms have as many names as possible spread among the rooms as an insurance policy. Also request a late check-in during peak travel times to ensure your room is not given away if your arrival is unexpectedly delayed.
Finally and most importantly if will definitely not be able to keep your reservation do not cancel your reservation! Simply call the hotel directly and inform them you will need to move back your reservation due to unforeseen circumstances. Make sure you delay your new reservation to outside the cancellation charge timeframe. Most hotels will be more then happy to alter your reservation free of charge in order to retain your business. Call the hotel or 1-800 number back the following day and cancel your altered reservation charge free!
